Administration Assistant as Project Manager (m/f/x)

Our client in Berlin is looking for a Administration Assistant as Project Manager to work both on-site and remotely. In this exciting role, you can expect a variety of administrative project management tasks that require your ability to collaborate and communicate.

The position is initially limited to 12 months, but with the option of being taken on.

Tasks
  • Maintenance and optimisation of the RDP tool as well as regular coordination with the ‘Control & Continuous Improvement’ department for efficient resource management
  • Structuring, maintaining and updating the digital filing system in SharePoint, including documentation of processes and organisational specifications
  • Organisation, administration and further development of quality standards and close cooperation with other specialist departments to ensure high quality standards
  • Organising, checking and updating framework agreements in coordination with Purchasing as well as proactively analysing requirements and evaluating relevant data
  • Checking bookings to ensure traceability, cost tracking and support with orders, invoices and BANFs
  • Setting up and managing a list of open points (LOP) to track and coordinate projects and tasks in collaboration with other departments
  • Preparation, moderation and recording of project meetings as well as organisation and coordination of workshops and coordination meetings
  • Organisation and further development of onboarding and offboarding processes for new employees, including administrative tasks such as maintaining functional mailboxes and document management in line with the corporate design
Qualification
  • Completed commercial training as a basis for the comprehensive administrative and organisational tasks in project management
  • Expertise in the planning, coordination and documentation of projects as well as in the administration of digital filing systems such as SharePoint
  • Experience in the organisation and maintenance of quality standards as well as in the management of framework contracts and requirements analyses, especially in close cooperation with the purchasing department
  • Ability to strategically manage resources and further develop tools, combined with close coordination with various departments
  • Practical experience with SAP R/3 modules, confident use of MS Office applications and sound knowledge of SharePoint
  • Existing work permit for the EU
