Are you a dynamic professional with a knack for organization, a flair for building relationships, and a passion for communication? We're looking for an Executive Assistant to work closely with our founder in shaping the future of our design studio.

In this unique role, you'll bridge three key areas: supporting client development, managing PR and marketing efforts, and handling executive and personal assistant tasks.

As our Executive Assistant , you will:
  1. Client Development

Be the first point of contact for new business inquiries, guiding international clients from first contact to project inception.

Coordinate RFIs and RFPs with internal teams, ensuring timely and high-quality responses.
Manage our CRM system to oversee client and supplier relations and track opportunities.
Conduct market research and competitor analysis to inform strategic decisions.
Develop presentations and executive summaries for clients and management.
Represent the studio at industry events and conferences, growing our professional network.
  1. PR & Marketing

Plan and execute a social media strategy in line with our brand vision and goals.

Create engaging content across platforms, from LinkedIn to Instagram.
Engage with our community online, responding to inquiries and fostering relationships with influencers.
Identify and submit applications for relevant industry awards.
Assist in PR activities such as creating press kits, writing press releases, and maintaining media relationships.
Organize and coordinate studio participation in industry events and speaking opportunities.
Analyze the success of campaigns and optimize strategies based on data insights.
  1. Executive and Personal Assistant Support

Manage the founder's schedule, appointments, and travel arrangements.

Prepare presentations and reports for internal and external meetings.
Handle correspondence and communication on behalf of the founder.
Anticipate administrative needs and proactively provide solutions.

Support personal tasks, such as event planning, gift coordination, or other ad hoc requests.

Qualifikation: You're a great fit if you: Have 3+ years of relevant experience in a similar role, ideally within the creative industry.

Are fluent in English (German proficiency is a plus).
Bring excellent organizational and multitasking skills, with an eye for detail.
Are tech-savvy, with experience using tools like CRM systems, social media platforms, and MS Office.
Are proactive, resourceful, and solutions-oriented.
Have exceptional communication and interpersonal skills, both written and verbal.

Are comfortable working in a fast-paced environment and can handle confidential information with discretion.
