ABOUT THE ROLE

The Transparency International Secretariat is currently seeking an Executive Support Assistant for the CEO Office as part of the Executive Support Team.

This position is ideal for students seeking flexible hours

OVERVIEW OF KEY DIMENSIONS

Role Purpose: The Executive Support Assistant provides executive support to Secretariat leadership (Chief Executive Officer and the Chief Administrative Officer).

Team: CEO Office
Reporting Line: Chief Executive Officer
Salary Band: Midi Job on hourly wage (16 EU/hour)
Starting Date: as soon as possible
Contract Duration: Currently we can offer a temporary employment contract limited for a duration of 1 year.
Working Hours: part time [up to 20 hours per week, paid at hourly rate]

Location: Transparency International Secretariat (TI-S), Berlin, Germany

MAIN ACCOUNTABILITIES OF THE ROLE

Reporting to the Chief Executive Officer, the Executive Support Assistant will:

  • Executive support
  • Provide overall day-to-day administrative support to the Secretariat Executives
  • Facilitate effective information sharing and communication flows between Secretariat Management and the rest of the organisation, utilising advanced email functionalities and mass mailing software solutions
  • Work with the Senior Executive Coordinator to ensure efficient communication flow among Secretariat Executives and the Board as well as between them and external and internal stakeholders
  • Plan and coordinate the calendars of Secretariat Executives and ensure cost- and time-effective travel arrangements
  • Provide support for the organisation of TI meetings and planned events involving the CEO office

CANDIDATE PROFILE

In order to succeed in this role, candidates will need to meet the following:

  • Relevant professional experience in administrative support, project assistance, internal communications or similar
  • Professional language proficiency in English essential; additional languages (e.g. German, French, Spanish, Arabic) is an asset
  • Strong interpersonal skills and ability to establish and maintain cooperative and productive working relationships with a wide range of stakeholders at all levels of the organization
  • High level of intercultural competence, diplomacy and political sensitivity
  • Excellent organisational skills to structure and prioritise multiple concurrent tasks with attention to detail
  • Ability to handle confidential information
  • Good written communicator with knowledge mass emailing solutions
  • Routinized in the use of MS Office, particularly advanced use of MS Outlook. Familiarity with MS Share Point an advantage.
  • Interest in anti-corruption work and commitment to the values and principles of Transparency International
