WE ARE LOOKING FOR

We are seeking an experienced Receptionist/Team Assistant to join our team in Frankfurt.

SOME OF THE INTERESTING CHALLENGES AHEAD OF YOU
  • Monitoring Stock of office supplies (coffee, sweets, fruits, refreshments)
  • Reception Management (Taking care of guests, telephone calls, door, keeping meeting rooms ready, courier services)
  • Manage incoming calls, direct them to appropriate staff, and take messages when necessary
  • Coordinate and manage schedules, meetings, and appointments
  • Scanning mail, deliveries, and courier services
  • Maintain office supplies and equipment
  • Respond to inquiries, provide information
  • Vacation / sick leave cover for Office Manager
  • Ensure reception and waiting areas are tidy and welcoming
  • Assist with processing and managing credit card billing and expense reports
  • Handle reports, issues, and requests related to local facility management
  • Daily office rounds, loading and unloading dishwashers, and restocking coffee, milk, and other supplies
  • Travel bookings for team members
WHAT YOU NEED TO SHINE IN THIS ROLE
  • Background: ideally receptionist or office assistance
  • Personality: communicative, positive, supportive, team player
  • Approach: organized, reliable, flexible, patient
  • Ability to prioritize and handle multiple tasks at once, looking one step ahead
  • PC skills: user of MS Office e.g. PowerPoint, Excel
  • Location: based in Frankfurt or nearby (full-time office job)
  • Languages: German (native or bilingual) & English (professional working level)
