Job Description:
We are a small business based in Oklahoma, operating in the US government contracting industry with a focus on vehicle maintenance, quality assurance, and logistics. We are seeking an experienced HR Specialist to join our team in Germany. This individual will play a key role in managing the onboarding process for new employees and ensuring compliance with both US and German employment regulations.
Key Responsibilities:

Personnel Management & Compliance:

  • In-process new employees into the German system, ensuring all necessary paperwork and documentation is completed.
  • Handle the registration of American employees into the German social security system, including assistance with residence and work permits.
  • Ensure compliance with German employment laws and maintain up-to-date knowledge of employer responsibilities in Germany.
  • Draft and edit employment contracts for new hires, contract extensions, and terminations, ensuring legal accuracy in both German and US contexts.

HR Administration:

  • Coordinate the onboarding process, including providing information on benefits, payroll, and compliance with local labor laws.
  • Track and manage employee records, including sick leave, vacation days, and other absences.
  • Support employees in the field, tracking Temporary Duty (TDY) assignments and assisting with any HR-related needs during deployments.

Accounting & Payroll:

  • Track and process employee expense reports and manage reimbursements efficiently.
  • Input payroll data into DATEV for processing, ensuring accurate records for bookkeeping, payroll, and compliance purposes.
  • Prepare and organize invoices for submission to clients, particularly within the US government contracting framework.

Other Responsibilities:

  • Maintain organized records of financial documents, employee files, and other critical business documentation.
  • Serve as the primary point of contact between our Germany-based office and the US headquarters for HR and financial matters.

Requirements:

  • 1-2 years of experience in HR, payroll, or accounting, preferably in an international or German-based role.
  • Familiarity with DATEV or similar payroll/bookkeeping software.
  • Knowledge of German employment laws and regulations, especially regarding the employment of non-EU citizens.
  • Experience with German social security and the process of registering foreign employees.
  • Strong organizational and multitasking skills, with attention to detail.
  • Fluency in English is required; proficiency in German is highly preferred.
  • Excellent communication skills and ability to work in a small team.
