Fluency in English, German, and French is essential, as the role requires collaboration across international teams. The ideal candidate will be highly organized, adaptable, and capable of managing multiple projects simultaneously.
Job Responsibilities:
- Provide comprehensive administrative support.
- Oversee space planning, office design, and manage relocations/expansions.
- Ensure the smooth operation and maintenance of facilities.
- Implement and maintain building and security systems (e.g., CCTV, access control, HVAC).
- Coordinate with contractors and service providers to ensure high-quality services.
- Support the implementation of policies and procedures, including Quality Management Systems (ISO 9001, 14001, 27001, 45001) and compliance with CSR goals and GDPR.
- Manage office insurances, procurements, budgets, and expenses.
- Collaborate with other departments on internal and external projects.
Qualifications:
- Minimum 3 years' experience in office and facility management or a similar role.
- Strong organizational and multitasking skills.
- Good technical understanding.
- Excellent communication and interpersonal skills.
- Proficient in workplace technology and office management software.
- Able to work independently while collaborating effectively within a team.
- A hands-on mentality with adaptability to navigate challenges and changes.
Language Requirements (Mandatory):
- Fluency in English, German, and French (both written and spoken) is required, regardless of the location (Graz, Austria; Lyon, France; or Ulm, Germany).
Bonus Qualifications:
- Proficiency in Italian or Spanish is a plus.
